Funds that appear unavailable can represent pending settlement, a reserve, a transaction hold or an account restriction. Identify the category before deciding what evidence or escalation is needed.
Reconcile the amount Compare gross payments, refunds, fees, reserve movements and payouts. A net balance below gross sales is not necessarily missing money. Use transaction level reports and check the currency of each figure.
Read the release conditions Determine which notice or contract provision applies. A scheduled payout and a reserved balance can have different conditions. Do not assume closing the account creates an immediate right to release every amount.
Respond to outstanding requests Provide the actual evidence requested, such as fulfilment or ownership information, through a verified channel. Keep the case history and ask for clarification where a condition is unclear.
Protect the operating budget Forecast using money currently available and a realistic assessment of uncertain receipts. Review supplier commitments and customer refunds. A hold can create more disputes if it prevents delivery, so manage that exposure promptly.
For a growing store, identify whether new reserves are offsetting scheduled releases of older amounts. That can explain why the total held balance remains high.
If the provider's explanation and reports still do not reconcile, submit a specific calculation with transaction references through its complaint route. Avoid anyone promising guaranteed fund release in exchange for account credentials or an unverified advance payment.
