Payment Disputes: How the Process Works

Payment disputes follow the rules of the payment method and provider involved. A card chargeback, a platform claim and an ordinary customer complaint may use different processes, deadlines and evidence channels.

Identify the process Read the notice and confirm the transaction, amount and dispute category. Check whether an informal inquiry can still be resolved or whether a formal response is required. Record the deadline immediately and assign one person to coordinate the case.

Decide the appropriate response Review the facts and the business's own policy. If the customer is entitled to a refund, resolve it through the appropriate process while avoiding duplicate reimbursement. If contesting the case, submit evidence that addresses the actual reason.

Present a clear record Use a concise chronology: order, acceptance, delivery, communication and any refund. Link each statement to supporting material. Do not rely on insults, assumptions about the customer's intentions or a generic copy of the entire website.

For a service cancellation dispute, the accepted cancellation terms and what happened on the relevant dates may be more useful than proof that the company exists.

Close and review Record the outcome, financial adjustment and any operational lesson. Keep the case separate from other orders so refunds and settlements can be reconciled accurately.

Respond through the provider's official case system rather than assuming a support email or WhatsApp exchange satisfies the formal deadline. A well organised response improves clarity but cannot guarantee the decision will favour the merchant.
