Currency conversion cost is the difference between the value you expect to exchange and the value the business ultimately receives, including explicit charges and the rate used. It should be measured at the actual transaction route, not inferred from a generic headline spread.
Locate each conversion A customer payment can be converted by the processor before payout. The receiving account may convert again if it does not support the settlement currency. A later supplier payment can create another exchange.
Map that chain and remove unnecessary conversions where the products and contracts permit it. Holding a currency can help match receipts with expenses, but also leaves the business exposed to currency movements.
Compare complete quotes Use the same amount, currency pair and timing. Check transfer fees and the expected beneficiary amount as well as the exchange rate. A rate displayed before all charges is not the final cost.
Keep the accounting evidence Retain original currency amounts, converted values and provider reports. Refunds and conversions on different dates can create differences that need to be explained rather than forced to match the original sale exactly.
For example, a company receiving euros and paying euro contractors may choose to retain some euros instead of converting immediately and buying them back. Whether that is sensible depends on cash needs, product restrictions and risk tolerance.
Set a simple conversion policy with responsibility and review points. Avoid turning operating cash management into speculative currency trading that the business did not intend to undertake.
