Registered office compliance is an ongoing process for maintaining a valid address and receiving important correspondence. Paying for an address once does not ensure the arrangement remains current or functional.
Review the service annually Confirm the service period, company name, responsible contact and mail forwarding details. Check whether originals are retained, how urgent notices are handled and what access is available to relevant records.
Distinguish address types The registered office, business location and director's residential address serve different purposes. Update the correct record when circumstances change. Do not describe a mail handling location as a staffed operating office unless that is accurate.
Handle changes formally Arrange the new service before ending the old one and prepare the required Registry notification. Review separate updates needed by authorities, banks, processors and counterparties. A website edit does not update the official record.
Keep evidence of the arrangement Retain the service agreement, renewal confirmation and filing receipts. Make sure directors know where notices will arrive and can retrieve them without depending on one absent staff member.
For a company managed abroad, test the correspondence process periodically. An annual reminder is of little value if it is forwarded to an unused email address.
Treat official mail as part of the compliance workflow: receive, assign, act and archive. This closes the gap between having a registered address on paper and actually responding to the obligations that reach it.
